SmartPlatform is a software-as-a-service platform that enables teachers, trainers, academies and organizations (“Platform Owners”) to build branded learning platforms, sell courses, exams, books and bundles, and serve their learners (“Learners”) on the web and on mobile and desktop apps.

For account, billing and website data, Virtual Data IT acts as the data controller. For learner data that a Platform Owner collects through their own academy, the Platform Owner is the controller and we process that data on their behalf and according to their instructions.

Depending on how you use SmartPlatform, we may collect the following information:

• Account information: name, email address, phone number, password (stored only in hashed form) and profile details.
• Platform information: platform name, subdomain or custom domain, logo, visual identity and settings.
• Educational content: videos, files, courses, exams, question banks, books and certificates you upload or create.
• Learner information: registration details, enrollments, progress, exam results, certificates, purchases and the devices linked to each account.
• Payment and payout information: transaction records, plan and add-on purchases, wallet balance and withdrawal details. Card details are entered directly with our licensed payment processors — we never store full card numbers or CVV codes.
• AI tool inputs: descriptions, instructions, files and logos you submit, and the content generated for you.
• Technical data: IP address, browser and device type, operating system, language preference, pages visited and security logs.

• To provide, operate and maintain SmartPlatform and the academies built on it.
• To create and manage accounts, subscriptions and add-ons.
• To process payments, refunds, commissions and wallet withdrawals.
• To deliver the AI features you request and calculate AI token usage.
• To protect content and accounts, including device limits, signed video links and fraud prevention.
• To send service notices and security alerts, and — where permitted — product updates you can unsubscribe from at any time.
• To provide support, improve our services and comply with our legal obligations.

When you use the AI Builder or other AI tools, your inputs are processed by carefully selected AI service providers solely to generate the output you requested.

We do not sell your content, and we do not permit our providers to use your academy content to train their public models. You remain responsible for reviewing AI-generated content before publishing it.

We do not sell personal data. We share it only where necessary with:

• Payment processors and banks that handle Visa and Mastercard transactions.
• AI service providers, for the features you choose to use.
• The relevant Platform Owner, for learner data related to their academy.
• Competent authorities, when required by law or to protect the rights, safety and integrity of our users and service.

All service providers are bound by confidentiality and data protection obligations and may only use the data to provide their services to us.

We apply technical and organizational measures that include encrypted connections (HTTPS/TLS), hashed passwords, a separate data scope for every academy, role-based permissions, signed and expiring video links, and continuous monitoring.

No system is completely free of risk, so we also encourage you to use a strong password and keep your login details confidential.

We use essential cookies and similar technologies to keep you signed in, remember your language and platform, secure your sessions and understand how our website is used. You can manage cookies from your browser settings, but disabling essential cookies may affect how the platform works.

We keep personal data for as long as your account is active and as needed to provide the service. After an account is closed, we delete or anonymize its data within a reasonable period, unless we are required to keep certain records — such as invoices and financial transactions — to meet legal, tax or accounting obligations.

Subject to applicable law, you have the right to:

• Access your personal data and receive a copy of it.
• Correct inaccurate or incomplete information.
• Request the deletion of your account and data.
• Object to or restrict certain processing, including marketing messages.
• Withdraw your consent where processing is based on consent.

Learners should first send requests about academy data to the relevant Platform Owner, and we will support them in responding.

Platform Owner accounts are for people aged 18 or older. Platform Owners who serve learners under 18 are responsible for obtaining the consent of a parent or legal guardian where required by law.

We may update this policy from time to time. We will publish the updated version on this page with a new “Last updated” date, and we will notify you of material changes through your dashboard or by email.
